We are seeking an organized and proactive Administrative Assistant to join our esteemed consulting firm located in Federal Way, WA.
In this role, you will play an instrumental part in ensuring that our consulting operations run efficiently.
The successful candidate will be a team player with an innate ability to handle various administrative and light human resources tasks, supporting the Principal Consultant and the broader consulting team.
Work Schedule:
Onsite Requirement:
Mondays, Wednesdays, and Fridays at our Federal Way, WA location.
Remote Work:
Tuesdays and Thursdays.
Flexibility:
We understand the importance of family obligations and are willing to offer flexible hours to accommodate tasks such as school pickups and drop-offs.
Key
Responsibilities:
General Office Duties:
Handle incoming and outgoing correspondence, manage filing systems, and oversee office supplies inventory.
Scheduling:
Coordinate meetings, client appointments, and travel arrangements for the Principal Consultant and other senior team members as necessary.
Communication:
Serve as a liaison between the Principal Consultant, the consulting team, and external stakeholders, ensuring effective communication channels are maintained.
Document Management:
Draft, edit, and proofread documents, reports, proposals, and presentations tailored to our client's needs.
Event Coordination:
Assist in planning and organizing company events, seminars, workshops, and client engagement sessions.
Reception Duties:
Answer incoming calls, direct them to appropriate departments or team members, and greet visitors with professionalism.
Financial Tasks:
Assist with invoicing, expense reports related to client engagements, and basic bookkeeping tasks as needed.
Human Resources Tasks:
Assist in the recruitment process by posting job openings, scheduling interviews, and maintaining communication with candidates.
Manage a ticketing system for employee queries and concerns, ensuring timely resolution.
Coordinate onboarding processes for new hires, including orientation and training.
Qualifications:
High school diploma or equivalent; associate's or bachelor's degree preferred.
Proven experience as an administrative assistant, preferably within a consulting or professional services environment.
Expert proficiency in MS Office, especially Outlook, required.
Familiarity with a ticketing system (Jira) for managing queries and requests preferred.
Strong organizational and multitasking abilities.
Exceptional written and verbal communication skills.
Detail-oriented with a focus on accuracy and efficiency.
Ability to work independently and collaboratively within a fast-paced consulting environment.
